Terms of Reference
Context
The Porter Main Floor Renovation Team has been established to work with The Walter Fedy Partnership to finalize all details related to the planned renovation of the Main floor of the Dana Porter Library using available funds. Key goals of the planned renovation are to enhance the student learning experience by using accessibility and universal design principles to create a welcoming, vital space that integrates service points and the reference collection with spaces for research, study and intellectual discourse while also maximizing the efficiency of staff space.
The Walter Fedy Partnership will coordinate construction activity with UW's Plant Operations department.
Scope
Working with The Walter Fedy Partnership, the Team will finalize and implement plans for the renovation of the Main floor of Dana Porter Library within the existing footprint of the floor. Planning will begin immediately. The renovation is scheduled to occur during the Spring term of 2008, with a completion date of August 15.

The Team will ensure the completion of the following tasks:
- In consultation with appropriate library staff and with other campus constituencies such as Food Services and Graphics, finalize the building program that describes the functions, and their space requirements, to be located on the Main floor
- Recommend and present a conceptual design for the space to Library Executive for final approval
- Consult with students and faculty and additional groups as appropriate, including persons with disabilities
- Prepare recommendations regarding introducing the renovation in stages if necessary
- Work closely with the architects to assist in overseeing the implementation of the final plans
- Track costs associated with the project
- Determine priorities in consultation with the administrative contact should cost estimates indicate that a complete redesign is not possible
- Communicate with Library Managers as appropriate so that Library Managers can coordinate the delivery of library services during the renovation. Tasks for which primary responsibility resides with Library Managers include the following activities:
- relocation of staff and services during the renovation
- development and implementation of a communication plan for the campus and beyond
- Work with other individuals and groups such as the UW architect and IST who may become engaged in the project
- Ensure that the administrative contact for the project is regularly informed of developments and consulted as appropriate
- Maintain a list of ideas generated that may apply to other parts of the Library or to future renovations on the Main floor
