April 9, 2001 - Davis Centre Library DC 1568
Present: Linda (facilitator), Dan, Alex, Lois, Betty, Patti, Carolyn,
Anne (recorder), Debbie, Gail, Charles
- Acquisitions Fiscal Period Close
An email will be sent to all TUG staff outlining the process: Thursday
April 26, 6pm all modules backed up for ½ hour and acquisitions will
be unavailable until Monday after it has been tested and managers give
the OK. Fund info for selectors and bib searchers should be entered
by Tuesday.
Action: Debbie will email Binding about access to acquisitions
module.
- Solaris Operating System Upgrade
The upgrade improves functionality, security, etc. and will be done by
UW (Charles who is certified) and IST staff the weekend of May 5. TRELLIS
and all modules will be down about 4 hours as well as any websites
using cgi scripts (TUGdoc, ILL form, etc.). Backup OPAC will be available
as well as offline charge. To minimize the impact on users, the application
servers will be upgraded sequentially during the preceding week
and services will be shifted from one application server to another as
needed through the week.
Actions: TOMG will be sending details about the impact
of the upgrade to tugstaff-l. Liaison librarians could use this as
the basis for a message to faculty and grad students.
Ways to inform users such as page redirects for TUGdoc, etc. will be
explored by Charles.
- Voyager 2000.1.3 Upgrade
The gold patch is expected by the end of this week and we want to test
preview clients as well as talk to sites who are live before us.
- Pilots' assessment re best time in July/August
First weekend in August is out as it is a holiday. OPAC group reported
that ISR staff prefer early July (either of the 1st 2
weekends). Renison, Optometry and St. Jerome's were ok with this
but prefer Aug 17-20 or Aug 10 -13. Acquisitions says anytime in
August as they need to train 30 staff which may include using Endeavor
staff as per our contract. Circulation is fine with any time in
July as well as Aug 13 or Aug 20 weekends. Cataloguing had no date
preferences except that it occur when Betty is not on holiday.
- Review of typical upgrade processes/responsibilities
Linda gave us each a spreadsheet of tasks and days to complete from
the fall upgrade plans and we discussed a few items. A new plan
will be created. Not clear who will be the head of Prototyping
as Ellen retires end of July but could come back on contract for
a later upgrade date. Mike, Virginia and Mark are discussing this.
- Round-the-table TRELLIS updates
Gail: Architect, a new software for defining business plans,
is being tested for web-based reports. Requires new data catalogues
be built.
Debbie: Using EDI daily with UW Finance. Things are being paid
faster.
Anne: TUG OPAC meeting after Easter re upgrade and TUG OPAC
duties. There are more decisions re item statuses (Alex) which we'll
add to agenda. Carolyn: Successful cooperative collection development
with St. J, CGC and UW for Religion database.
Patty: New staff - Jim Winterbottom, Manager of OPT and Tim
Ireland.
Betty: Cataloging electronic IEEE is a big project. Also defining
how to put local info into authority records (100 deletes behind).
Charles: Determining hardware needs for next year given keyword
server memory problems this year; going to VUGM; interest in open URL,
Cross-Ref and sfx enabled; Experimenting with NetMeeting, a free Microsoft
program, which allows group members to see each other's desktop. TUG
acquisitions were to be the test group.
Lois: Cataloguing Renison serials in order to use serials check-in.
Practicing check-in with 99 training database.
Alex: Setting up Impromptu reports for Renision. Problems with
Missing In Transit reports for staff placed title level holds (source
info or target info often missing). No Endeavor fix planned in the
near future. Dropping the Full-time and Part-time status info for patrons
(no longer coming from Registrar) and marking categories Do Not Use.
Linda: TRACE almost ready to run circulation - checking hardware;
organizing training. No access to acquisitions information; their new
items show up once UW has catalogued them. Windsor will do some batch
overnight searching of our authority records.
