Minutes (Final)

Present: C. Dirks, A. Fullerton, V. Keller, S. Morton,
G. Sperling, L. Teather, D. Tytko, M. Watkins, C. Woods
- Issues regarding the 99.1 upgrade:
- Acquisitions: D. Tytko reported that at UW all seems to be going
well. We are not experiencing the problems with slow response time in serials
check-in that Guelph and Laurier are reporting. She and C. Woods will help
them discover the cause of this problem.
- St. Jerome's: C. Dirks reported some loss of functionality
in the Cataloguing module, e.g. the less convenient display of the Owning
Library (it is now hidden under the systems tab) and problems with the
drop down lists for language and country codes in the 008 field.
- OPAC: A. Fullerton reported that the order status and call no.
messages for on order and received items are not displaying as anticipated.
Revisions are underway to make these messages clearer. Other issues that
have been reported mostly concern functionality that was never available
in the web version of the OPAC only in windows, e.g. being able to select
multiple items to display from a list of headings or titles. Hopefully this
problem and some other limitations of the web OPAC will be fixed in the
2000 upgrade. The thumbnail display that appears when a URL is present in
a BIB record is not considered useful to users. This option should be turned
off.
- Optometry: nothing to report.
- Trace: nothing to report.
- User Services: M. Watkins reported that there were some procedural
and timing problems relating to the uploading of offline charge transactions
after the upgrade was completed. Carl Nagel will be asked to review the
whole process with Alex McCulloch. A. McCulloch and C. Dirks are investigating
the possibility of using the new short loan function for reserves and
videos. M. Watkins is testing the new proxy patron function. M.J. Tell
is now on the TUGCirc committee as the representative for the Colleges
and other small sites. The patron holds cancellation functionality will
be tested. C. Woods will make the appropriate changes to the system to
allow this testing. UW would like to run circulation reports on weekends.
There probably would be no problem with doing this.
- Systems:
- G. Sperling reported that she created new order/claim pay locations
for UW in order to allow invoice data to be passed electronically
to UW Finance Dept. The problem with patron update that happened after
the 99.1 upgrade has been resolved.
- C. Woods reported that the new WebAdmin product will be implemented
in the next 2 to 3 weeks for testing.
L. Teather commented on the overall smooth and successful upgrade and congratulated
C. Woods on the meticulous job he did to ensure the success of this operation.
The TRELLIS Operational Management Group is developing a mechanism to
keep the back-up catalogue in place and available for emergencies.
- Summer Action Plan:
- C. Woods will investigate the possibility of simultaneously searching
several OPACs through a Z39.50 connection. He has done the preliminary
work to allow the export of bib records to the National Library, etc.
- L. Teather will work with TRACE to get them up and running on TRELLIS
as soon as possible. She and M. Watkins are in close contact with Lois
Clifford, the new librarian at Renison College, to get her up to speed
on the system.
- C. Dirks will work with L. Teather to discuss the options for circulating
the St. Jerome's video collection.
- D. Tytko and G. Sperling are working on the project to allow the sending
of invoice data electronically to UW Finance. This functionality will
be up and running in September.
- A. Fullerton would
like to get the font setting changed on public workstations to allow better
display and less scrolling. Carl Nagel has suggested that this be tested on
a few machines first as it is a manual change.
- M. Watkins may be
working with the LT3 lab on TRELLIS training.
- Other business
- G. Sperling asked about Acquisitions training for the 2000 Upgrade.
We will be purchasing 3 copies of the training video and bringing in an
Endeavor trainer for on-site training closer to our upgrade date.
- L. Teather reported that there has been no news from Endeavor concerning
the 2000 release. It went into beta testing in May but that is all we
know. The 2000 upgrade will definitely NOT be taking place in August.
December is still possible.
- A. Fullerton reported on the EnCompass demonstration at ALA. It is
still very much in its early stages and there is not a lot of interest
to us yet.
The next meeting tentatively scheduled for Sept. 11. L. Teather will confirm.
