Present: Carolyn Dirks, Anne Fullerton, Betty Graf (facilitator), Verna Keller, Alex McCulloch (recorder), Patti Metzger, Carl Nagel, Debbie Tytko, Charles Woods

Absent: Gail Sperling, Linda Teather

  1. Volunteer for Minutes - Alex agreed to take the minutes.

  2. Best Meeting Time - The group agreed to meet on the first working Monday of each month, at 2:00 p.m.

  3. 99.1 Upgrade

    Charles took the group through the "pre-June 22 tasks" as outlined in the 99.1 Upgrade Plans document at  http://library.uwaterloo.ca/~wcwoods/

    • On Wednesday June 14 at midnight the TRELLIS servers will go down early for the weekly back-up. They'll also go down at 6:00 a.m. Thursday for two hours in order to move them.

      Action:Link up the back-up catalogue during the downtime.

    • UW is going with only WebVoyage after the upgrade for public stations. This includes Optometry.

      Action: Carolyn will talk to Sam about whether the colleges will follow suit. Renison will go along with what St. Jerome's and Conrad Grebel decide.

    • The group agreed that WinOPAC was no longer necessary for staff stations either.  However, as a precaution, Carl will deliver it along with other clients, but will not deliver the shortcut for it so that it's a bit hidden.

    • TUGOPAC will finalize plans for the new front page this week.

    • The workstations group will move to using WinU version 5 for securing public stations. There was a discussion of how the front screens will change.

    • New clients will be distributed by June 19.

      Action: Anne will forward OPAC.ini changes to Charles for testing in the preview server.

      Action: Alex will review changes to the CIRC.ini and the CIRCSC.ini and forward these to Charles by June 14.

      Action: Bill Halahan is looking at changes to the Access.mdb files, NoticeEmail.cfg and Reporter.ini.

      Action: Charles will ensure that the new flag 'Allow On-Shelf Holds' is turned on after the upgrade.

      Action: Alex will determine which circulation machines will be using Offline Charge during the upgrade.

      Action: Carl will push clients out to the Colleges once he has them.

    • On June 21 the last extract for the back-up catalogue will be taken.

    • Charles ran through the remainder of the tasks.

    Upgrade Information by Module

    OPAC

    • TUGOPAC folks have all been away of late. Dianne Peters and Jim Brett should be able to do some testing after the upgrade on June 26, and TUGCirc folks will help if sent scripts.

    • TUGOPAC and TUGCirc met to review text changes to Item Statuses, Order Information, and Patron Information. Betty pointed out that the new message for Received items would not work for series headers.

    • Anne is waiting for feedback from ISR on: text for the OPAC back-up; text for the new first button on the public workstations.

    • A decision has been made on the Keyword searching default to "all of these".

    • There remains a need to test browse indexes.

    • Three new limits are possible in Search Type.

    • More testing is need on the output files of WebVoyage 99.1. Anne will meet with Charles to look at this.

    Circulation
    • TUGCirc has started looking at a new Request form as a possible way to move TUGdoc requests into TRELLIS.

      Tests of the new Short Loan capability are ongoing. Alex will test jointly with Carloyn, as St. Jerome's is interested in this for their video collection.

      TUGCirc is meeting on June 20 to discuss whether to introduce patron holds cancellations. It's possible that this can't be introduced until a new report is created.

      Proxy Patron capability has a major bug (subsequently the listserv informed us of a patch for this).

    Acquisitions
    • Not much that's new in this release.

    • TUGAcq folks are mostly away during the upgrade. Possibly Gail will be available to test.

    Cataloguing
    • Can't test Import/Replace or Bulk Authorities until after the upgrade.

      All other files have already been passed to Charles.

    • There's nothing in Cataloguing that will affect reserves templates.

    Publicity

    • Betty circulated the PR plan for the upgrade.

    • Reference and Circulation will prepare their own signage.

    • It was suggested that the fact that Self-Renew would be unavailable should also be included in publicity.

      User Services is looking into whether to increase circulation hours as Self-Charge will be unavailable.

      Action:  Once User Services has decided on hours, Alex will inform Mary Stanley and copy Pilots. Mary will prepare campus-wide publicity.
