Linda advised that the 2000.1 version of Voyager is not yet in general release. It is in early release to approximately 40 sites. Existing bugs are being fixed prior to releasing the gold version.
Input re upgrade dateTUG Prototyping met last week to discuss a common date for installing the 2000.1 clients. It was agreed that the upgrade be scheduled for the weekend of December 15th (Friday), with the system shut down at 6:00 pm on December 14th. Assuming that the time for upgrade is similar to 99.1, the system would be available for use (after testing) sometime on Monday, December 18th. Linda advised that the TRELLIS Steering Committee endorsed this date. Members of the UW Pilots group also agree with this date for upgrading. Linda will take this to the TOMG meeting tomorrow. IST will then need to be contacted to ensure that they will be available on those dates. Other dates discussed but dismissed for numerous reasons were reading week in February or mid May/2001.
Public and Staff ImpactDuring the down time, the public will use the backup catalogue. They will
be unable to place holds or see Circulation status during this time.
All of the modules will be unavailable for staff use on Friday, December
15 and part of Monday, December 18th.
Evaluation, training etc.
Ellen Tom will be leading the process of evaluation and training. We have approximately 3 months for each functional group to test and comment on the new features of their modules. Acquisitions and OPAC will require the most in depth testing since they are both complete rewrites. At Waterloo, the beta clients have been installed on the Help Desk PC and on the PCs in both the Davis and Porter Conference Rooms. A brief demo of each of the modules will be arranged as part of a future meeting so that all Pilots will have an opportunity to see a preview of the changes.
Linda will send the URLs of a few sites using the new 2000 OPAC so that people can take a look at it. She will also make copies of the 2000.1 Endeavor release notes for those who do not have access to them.
Training
At this point, the biggest learning curve will most likely be in Acquisitions. The TUG Acquisitions Functional Group has requested that an Endeavor trainer be booked to train all Acquisition staff the week prior to upgrading if possible.
Hardware/Software Requirements
The 2000.1 version requires that all PC's be capable of running Windows 2000, but do not necessarily need to be using Windows 2000. Access 2000 must be used in order to run reporter.
St. Jerome's has begun to catalogue videos on TRELLIS. They are including a holdings note restricting use of the videos to St. Jerome's Faculty, students and staff. Optometry and Conrad Grebel reported that they have about 100 videos each that they would like catalogued. TRACE and Career Resources will continue to use the databases they are presently using to offer access to their videos. Betty advised that UW Cataloguing has not agreed to catalogue videos for either Career Resources or Optometry.
Anne Fullerton had suggested that some type of information session be held for Information Services staff to make them aware of the access available on TRELLIS for these videos. Since she was not present at this meeting, it will be brought to a future meeting when Anne is able to attend.
Linda reported on behalf of Lois Clifford from Renison that Renison now has reserves on TRELLIS.
Patti reported that Sue Morton has now retired from Optometry. Until further notice, Patti should be considered the contact person.
Alex reported that Porter and Davis will start printing labels to put on reserve envelopes. They are customizing the spinelabel.config file. Alex will talk to Patti and see if these changes will work for Optometry as well. A copy of the file will then need to be sent to Charles. Linda will take this issue to TOMG tomorrow to see if the other sites are using this file.
Alex also reported that TUG Circulation is moving forward with a version of electronic reserves sometime next term. It will be publicized once they are ready to begin using it.
Alex reported that Patron Self Cancellation of Holds will likely be turned on in the next few weeks.
Approximately 61 duplicate barcodes were accidentally assigned to WATCARDS. User Services staff are handling the situation.
Betty advised that cataloguers are experiencing a high number of Run Time Errors which result in the staff being kicked out of the Cataloguing module. Unless Endeavor issues a patch for this problem, Cataloguing will continue to experience this problem until the 2000.1 upgrade. Betty will look at SupportWeb to see if this has been reported.
Verna reported that TRACE has approximately 70% of their holdings online. Betty advised that one of the three boxes of TRACE material sent for cataloguing has been processed. Verna will receive Circulation training after the September rush, well in advance of the November live date.
Debbie reported that the EDI process with Finance is progressing well. The target date is September 22, 2000.
