4) Review of TUG Holdings Counts spreadsheet for 2005/06 MacLean’s survey
The deadline for the MacLean’s statistics is June 20, 2006. Gail Sperling went over the numbers and explained which numbers are still needed to complete the spreadsheet. Verification of cartographic and micro counts are needed by UMD (Richard) and Cataloguing respectively.
5) Data cleanup in R: drive spreadsheets
Staff was asked to check to make sure that holdings counts for their department was up to date. Gail Sperling explained how we arrive at figures sent to MacLean’s. These reports are run after end of fiscal year numbers are in.
Yellow highlighted items in the ARL and CARL spreadsheets have no statistics additions, whereas orange highlighted items need to be verified. These statistics are found in the ARL and CARL folders. The spreadsheets will be reviewed closer to the fall.
Gail Sperling stressed the importance to follow entry standards when recording statistics in the departmental statistic spreadsheets. For example we were encouraged to be sure to enter correctly in upper or lower case, otherwise the statistics will not be correct. It was also stressed that dates should not be added to the spreadsheets if there are no statistics for that day. For example if June 12 has no statistics to record, do not enter June 12 onto the spreadsheet, this takes up valuable space on the spreadsheet.
Connie Pantic had previously requested that times for Consultations be added in the spreadsheet. Gail Sperling will look after this.
Jason will work with Ksenia to ensure that Architecture statistics are entered this week.
6) TUG Training Team Update and Feedback (Baiba Turner)
Linda Teather replied that membership rotation should be looked at carefully. Staff Training needs should be addressed. The committee will continue to look into this at the next meeting.
Susan Arruda and Baiba Turner have been focusing on new staff member training. Baiba has trained ISR people. She has found that she keeps going back for re-training because they feel uncomfortable doing COGNOS. Selectors primarily would like a person in ISR doing COGNOS reports. Selectors should be made aware of what COGNOS can do for them.
Members of the group expressed concern that COGNOS was not explained specific to their needs. It was suggested that training tailored to specific departmental needs be offered.
7) Next Meeting
The next meeting is tentatively scheduled for the first Monday in October.
