Notes from meeting of September 6, 2002:

Present: Doug Morton (chair), Helena Calogeridis (recorder), Michele Laing, Shabiran Rahman, Paul St-Pierre, Carol Steele, Marina Wan
- LSSI release 2.5:
A new release will eventually replace the current 2.0 version. It may solve some of the problems we are experiencing now, e.g., speed.
- Access to VR via new public workstations:
According to Library Systems, there might be a glitch with the user end of VR. It is being investigated. IST thinks it may be a router problem. LSSI is not aware of this problem elsewhere.
- Going live - important dates:
In order to be ready for the implementation, Doug will recommend by email that all VR librarians resume practicing, and supply the following information:
Starting date of VR: October 15, 2002
Brush up session date: Friday, October 4, am A suggested date for the review of the VR implementation is December'02 (will be confirmed with ISMC).
- Training issues:
Paul St-Pierre will be introducing Christy Branston to LSSI; he will also consider including Anne Fullerton and Margaret Aquan-Yuen, if they are interested. Doug will contact IST about the availability of a training room for the brush up, hands on session.
- Scheduling of VR:
Information desk schedulers will be responsible for VR scheduling as well. Carol Steele will send out the tentative schedule to all VR participants and solicit feedback. When all the facts/changes are in, the schedule will be adjusted.
- Other service related issues:
Online Reference web page needs to have a scope and other service information added. The service information should include the mention of its recent start and a plea for patience on part of the user. (action: Helena) Until further notice, Doug and Paul agreed to answer queries from patrons sent to VRIG.
We need to set up a filter to send VR transcripts to a folder. (action: Doug?)
Carol and Doug are compiling documentation to assist VR staff members during a session. It will be in print format, in a binder, two for each location (Porter and Davis). It will include a report sheet for observations, problems, comments, etc. The initial hints/best practices portion of the binder will be generated from the VRIG web page and enhanced as time goes on. A directory type of information will include the list of VR librarians with phone extensions and email addresses, and some other useful contacts, e.g. Circulation.
Paul is handling the marketing of VR service. Right now, he is mentioning the future start of the service to the new students.
- Future meetings:
The group plans to meet on alternate Fridays to ISR meetings. Doug will book the rooms.
