1. Approval of minutes from the meeting on August 15, 2001
The reference to the new Open Text version in item 8 was added to read “from version 8.5 to version 9.001”. The changed minutes were approved.
2. Business arising from the minutes of August 15:
8. Open Text Software - The target for the reactivation of web site searching of the UW Library Web site is set for September 10th.
3. Agenda Review
Add Agenda item #8: Linkbot
4. Report on the Progress of CNAPG top page design
Paul St. Pierre surveyed staff about the labels for the top page with mixed result. Summer time may have accounted for the poor response. He will consult with the professor to explore next steps.
Linda Hastings, using some of the class label suggestions, will work up a new prototype design based upon the principle discussed by the UWinfo group. The WatCard page has already incorporated these suggestions (http://www.adm.uwaterloo.ca/infocard/).
5. Staff Web Review
The general guidelines for the Staff Web will be to make everything public but each group maintaining a section of the Staff Web can also have a private area. A single password, distributed to staff, will be use to control access to these private areas. This will avoid the password, user file maintenance task.
To reduce the length of the URLs the site will be placed under a /staff directory and then directly to the department or group area. Kevin is looking into the existing User Services area to discover those pages that will be kept in a private area.
A very open survey was issued to staff for suggestions. Using this input Linda Hastings, following the proposed UWinfo guidelines, will develop a proposed Staff Web top page.
A proposal is being prepared for submission to DLCC on October 12th.
6. Decision on Contents of the Top Page
Requests have been received to make changes to the top page of the Library Web. All requests for changes will be forwarded to Susan Routliffe before any action is taken. Esther Millar noted that before any changes go live all Reference Desk staff should be notified of the coming change.
7. Statistics on the Use of the Library Web site
A summary of the user survey information will be issued this fall. There has been a request for separate ereserves statistics. Splitting off the public proxy log entries to help reduce file size are some options. The data could also be loading into a database.
Statistics for the Library’s web site will be examined in more detail this fall.
8. Linkbot
Esther plans to run the Linkbot program again. All the IRC files have been made unreadable to the world which will keep them out of the Linkbot report. Esther will warn staff that a re-run is coming in order to get them ready to work on any errors in their areas of responsibility.
9. Management of Historical Files / Archiving
Archiving is a question that must be addressed by DLCC. Marina will format a question for DLCC. Currently a CD is burnt annually giving a snap shot of the site at that time
10. Government Publications
A WLU and UW cooperative effort on the delivery of government publication information will go live on September 7th (http://tug.lib.uwaterloo.ca/gp/). Links will be checked on the Library’s web site to make sure people are directed to the new site.
Next Meeting: Wednesday, October 3, 2001, 2-4 p.m., Porter #428
