Minutes of the Meeting of February 6, 2002

  1. Approval of minutes from the meeting on January 23, 2002
    Approved with minor corrections.

  2. Business Arising:
    Charles' draft memo to webmaint-l on procedures for recovering lost files was discussed.

    Esther has created a webpage for the WebOps’ Retention Policy.( http://library/staff/webops/archiving_web.html)

  3. Agenda Review
    No additional agendas items.

  4. Unspamable E-mail
    The page listing all the Library email groups has been reformatted using the script (http://www.lib.uwaterloo.ca/~cpgray/
    sys_aliases.html) that prevents “mailto” email address harvesting by disreputable people. The script should be set-up as a server side include with an instruction page for maintainers. Chris will set-up a SSI for the script and prepare an email for staff (http://www.lib.uwaterloo.ca/~cpgray/
    sys_aliases.html).

  5. Statistics
    Charles has used FastStats, a web log analysis program to produce the statistics that Mary Stanley has requested. It took approximately 10 minutes to run but a number of caveats must be included. The forcing of the Library homepage on all public machines at each reboot plus some spider data collection routines used for indexing purposes skews the results. Mary will be alerted.

    For a long term solution it was suggested that a base file cleaned up of all the known skewing factors be prepared and a Cognos cube be developed. Charles will prepare a cube along these lines and it can be passed annually to the Reports and Statistics Group for analysis.

  6. Staff Web
    The Staff Web has been converted to the new UW proposed structure (http://www.lib.uwaterloo.ca/staff/). Marina Wan, Esther Millar and Linda Hasting were congratulated for all the work they put in to make this happen. The Open Text spider has been re-run and the new staff web is now indexed. The “private” directories with password-controlled access, have also been indexed. If a file in one of these “private” directories is located during a search, the user is asked to login to get access.

  7. New Library Homepage
    The change over to the new structure is targeted for the end of term. Existing prototypes can be viewed at http://www.lib.uwaterloo.ca/LibWebUse/.

  8. UW Standards & Guidelines
    Marina and Linda will attend the meeting on technical issues. The session mentioned by Carol Vogt will be held on February 12th.

  9. Report on OLA
    A few brief comments were offered about the OLA SuperConference held recently in Toronto. Metadata was a major topic at the conference. The National Library is proposing to use Dublin Core. It was also mentioned that NL has a subject list that they have developed for webpage subject access.
