Web Operational Management Group

Minutes of the Meeting of June 12, 2002
Davis Conference Room, 1:30 - 3:30 pm

Present: Chris Gray, Esther Millar (Recorder), Bill Oldfield, Marina Wan (Facilitator), Charles Woods

Regrets: Linda Hastings

  1. Minutes of meeting, May 29, 2002
    Minutes approved with minor changes.

  2. Business Arising
    6. Access to TUG Web file areas - Esther still needs to contact Guelph and Laurier
    7. TRELLIS quick search form is now part of the new prototype page.

  3. Agenda Review
    Add 9. Web Site Searching
    Add 10. Meeting Effectiveness Assessment

  4. New Library Web implementation - schedules & roles
After some discussion, we simplified the steps of the conversion process considerably. The revised process no longer requires an editing freeze. Marina will edit the draft proposal, and Esther will mount it onto our web site.

Charles will let Alex, Wish, and Jim P. know that their files will no longer be affected by an editing freeze.

  5. EZProxy
The group reviewed the steps outlined in the last meeting to ensure that everything is covered. We reviewed the user documentation prepared by Marina. Marina will incorporate a few suggestions. (Add a note about going to the logout page to log out; and also to note that when the browser shuts down the proxy is broken.)

We decided that preparing a matrix of browswer/ISP combinations to test and doing a load test were not necessary based on the experiences of Guelph and WLU. There are limited abilities for members of the Web Operational Management group to test more than a handful of ISP providers with EZProxy. The Web Operational Management Group has contacted the University of Guelph and Wilfrid Laurier University; they report that they have not had any problems with common browsers and ISP providers in the region. In addition WebOps notes the wide spectrum of small and large libraries using EZproxy as reported at http://www.usefulutilities.com/ezproxy/
    institutions.shtml.

It is difficult to simulate a load test off campus and outside office hours. Since no problem was encountered in the live situation at Guelph and Laurier, a load test is considered unnecessary. EZproxy will be tested for its use in Virtual Reference

  6. Virtual Reference Service
Marina was going to demonstrate the Virtual Reference Service, but due to time restraints, she suggested we could view it ourselves at the following URL: http://www.lib.uwaterloo.ca/staff/vrd/links.html . Click on one of the aqua boxes.

  7. Agenda & Meeting Procedures
Marina's draft was approved with minor changes. Marina will make the appropriate changes and Esther will mount the procedures onto our web site.

  8. Loading of Homepage on Public Workstations
WebOps received an email message noting that the graphic image for our homepage "takes FOR-EVER to download" and does not seem to be cached by the public terminals. We noted that the image size is not excessive and that other factors are involved, i.e., security monitoring (therefore the homepage does not cache) and the slowness of the public machines. Marina will respond to the patron.

  9. Web Site Searching
Google searching will be used for the public Library Web. The Opentext environment will remain for searching the TUG Staff Web, the UW Staff Web, and LT3.

  10. Meeting Review
The group felt good about the meeting, especially noting the major changes discussed and agreed to in agenda item #4. It was noted that the agenda was somewhat overloaded, but was salvaged by the decision to eliminate the demonstration scheduled in item #6.
