Minutes of the Meeting of May 16, 2007
2:00 - 3:30 pm, Dana Porter LIB 428

Present: Chris Gray, Tim Ireland (recorder), Esther Millar, Doug Morton, Bill Oldfield (facilitator), Dan Sich, Charles Woods.

  1. Minutes of the meeting of April 4, 2007
    Approved with minor corrections.

  2. Business Arising
    (From previous business arising –re interest in further Wiki instructional sessions)
    “Action: Bill will talk to Alex to determine interest from Circulation, if any”.
    -It was reported that there was no interest at this time and the training was cancelled.
    ACTION: Dan will re-schedule training.

    #9-Web Review
    Bill was given the mandate by Allan to review Library’s use of the Web and its method of managing the Web site and address the current problems of managing it with two committees that have little real authority.
    Report was sent to Allan about the administration of the Web.

  3. Agenda review
    Added Wikis, Blogs, CLF, LINC on-line registration.

  4. LibX (Bill)

    It was reported that LibX developers have received a grant. Discussion took place about UW LibX. The developers do not update our version.  Likewise, people that download UW LibX do not receive automatic updates when UW LibX is updated. Usage is currently unknown, this includes number of downloads and usage once downloaded.

    It was asked when FireFox (with UW LibX) will be installed on all public workstations.

    ACTION: Bill will determine if Firefox with the most up to date version of UW LibX is being installed on public workstations.  He will also determine how many public workstations have not yet had Firefox installed.

    The UW LibX extension has not yet been advertised. There was discussion about adding counters before the extension is advertised.

    ACTION: Bill will contact LibX for information about downloads and other counts –further if there can be some differentiation between plugins and updates.

    Further discussion:

    Download count only gives upper limits
    What browsers do our patrons use, and where does FireFox rate?
    What kind of tools do we give our users, which will they use?
    Is there sufficient functionality offered to users?
    Tools available and in use-there may be other better ones
    There is a need to advertise new tools –User training and maintenance issues
    Who will be providing support for UW LibX?

    ACTION: Bill will post listserv address to WebOps.

    ACTION: Charles will query group to determine if others are tracking usage.

  5. Web Statistics Project (Bill)
    The “Systems Project Template” was introduced and explained.
    Discussion included:
    Desire to create an on-demand statistical program.
    Why create?
    Who uses statistics (and why)?
    There are regular requests for statistics
    What are we counting?
    What is a “usage”
    Lets not eliminate current methods of collecting statistics
    Needs analysis
    –What do you need to track –TRELLIS, Coldfusion pages
    TRELLIS –File list or whole record?
    Should journal usage be part of the project?
    Scope: Measure use of web in delivery, but not in use of actual journals

    Project Expectations

    Can the managers get information when needed?
    Easy dynamic access
    Statistical profiles on a regular basis

    Project Plan

    Needs analysis
    -Usability of site
    -Number of times used

    Users are not used to getting web stats, so they don’t know what questions to ask. Perhaps provide an example of fast stats or Google Analytics.
    -Can a demo be provided to show potential users some of the things that can be done?

    ACTION: Charles will set up a session to show some of the info available and solicit feedback.

  6. Wikis Blogs, CLF (Chris)
    There have been some questions about applying CLF and branding. Specifically, public blogs, such as a blog for “Current News” needs branding. Is this something that would be easily accomplished?

    ACTION: Chris is going to give Esther access to the admin files

    ACTION: Esther is going to examine the coding and determine if it is easily customizable.

  7. LINC Online Registration (Tim)
    LINC is considering online registration with software provided by IST. To work, it needs a directory on the Library website.

    ACTION: Esther is going to create the directory for the online registration.

  8. Around the table
    Charles provided a demo on Where is it site as well as Google Analytics.
    Esther expressed thanks to Chris for fixing the IE7 Printing problem.
