Minutes of the Meeting of October 17, 2007
2:00 - 3:30 pm, Davis Centre Library Conference Room

  1. Approval of WebOps Minutes of October 3, 2007

    Accepted with minor corrections. It was noted that Dan, and not Doug, was the recorder. The <title> tag will be corrected. Charles will provide text to Esther on item 10 regarding a campus emergency alert system.

  2. Business Arising

    9. Wireless printing.

    Charles reported that Adrian confirmed that there is not a Vista windows client for PrinterOn. The web form needs to be used instead.

    The group concurred that there was not a natural place for promotion of the wireless printing solution other than its current placement and that this kind of issue should be taken into account when the site is redesigned. In the meantime the wireless printing service will be promoted by news and quick-poll items.

    Allan reported that several steps have been taken to reduce recent problems with public-printing stations. Problem PDF files have been identified and the creators notified. One professor has actively advised students of procedures to avoid when printing particular files. The problems have been presented to the UW-ACE Operations committee. Weekend and evening supervisors have been given a new procedure to kill hung jobs. Tim and Charles highlighted a need to establish rules-of-thumb for people who enact the procedure to ensure that jobs are not prematurely stopped. Tim was asked to outline the problem and a remedy.

    3.4 Allan and Charles still need to meet with Bill to discuss fine-tuning Google indexing options for the Library's sites.

    5. Allan will forward the addresses of other libraries' beta sites to the group for review.

    7. Nancy Collins will join Tim and Doug as they form a working group to identify the intented audience for our web sites. Allan will forward a document to the group from the Web Advisory subgroup on audience research.

    8. Mandate of WebOps
    The group is still encouraged to review the mandate of WebOps and particularly whether it should be expanded to items beyond our website.

  3. Email comments to Libwebops and libWebreview

    The group reviewed the process that addresses comments sent to staff via the Comments feedback form. Several improvements were suggested, including reduction of the number of categories listed on the form, changes to the structure of the form itself, and a change in the personnel who respond to the list. Nancy Collins agreed to take the several changes discussed in the meeting and review them with Bill and mock up a new form. She also volunteered to respond to problems reported via this form when the new procedure is approved..

  4. Around the table
    Allan reported on the Access 2007 conference in Victoria, noting that Dan and Christy Sich and Bill Oldfield also attended. There was a strong focus on the theme of Open Source software and on indexing software Solr and Lucene. The conference demonstrated that many sites were attempting similar ends with products like Endeca and Primo.

    Chris/Allan: noted the possibility of using CMS systems like Plone to manage a beta site.

    The group discussed approaches for keeping a review of the two books, "Don't make me think" and "The elements of User Experience" on the Webops table, including postings on a library blog or wiki, and possibily even a perpetual agenda item in WebOps meeting to discuss particular chapters.
