Davis Centre Library, DC 1568

Present : Pascal Calarco, Chris Gray, Esther Millar (Recorder), Doug Morton, Charles Woods (Chair)

Regrets: Annie Bélanger, Nancy Collins, Marian Davies, Alex McCulloch

  1. Approval of WebOps Minutes of August 24 – approved as written.

  2. Business Arising from the Minutes of August 24
    2.2.1 Feedback form at Musagetes:
Action on this item has been postponed pending review of the contact page.

    2.2.4 Discipline Area & LibGuides
Esther and Rose will handle the cleanup. Even when all subject guides have been converted, some files will still remain in the discipline directory: e.g., websites for Special Collections and Cartography, and files being linked to from UW-ACE. An ISR member has raised the question of creating a new home page for the discipline areas utilizing LibGuides functionality. The current LibGuides homepage was located on our server to handle multiple locations for the guides until conversion is complete. Only 2 guides remaining - but nearing completion. Kathy Szigeti and Esther will review homepage customization possibilities within LibGuides and Kathy will take the possibilities to ISR.

  3. Agenda Review

Since Chris was delayed due to Ares difficulties, the agenda was switched as follows:
    4. Web Site Governance
    5. WebOps and the Library Review
    6. Around the Table (with a bit of Business Arising)
    7. Web Authoring Tools
    8. UW Web-Advisory Group Update

  4. Website Governance
The group agreed to concentrate on the Library Review and leave the discussion on website governance until Annie returns in November.

  5. WebOps and the Library Review
Our first task is to compile an inventory of WebOps activity and services. We will begin by reviewing our terms of reference and Annie's background document on Sharepoint. Library Executive will be providing a template that will assist us in determining the type and depth of analysis expected. The SWOT analysis will be a facilitated process commencing October 31.

  6. Around the Table
Pascal reported on a recent CTSC & UCIST meeting. Eva Grabinski, Andrea Chappell, and Bob Hicks reported on 3 projects: mobile services, digital asset management, and online faculty information system. Eva & Andrea will put together groups to scope out what each means and to create project plans.

Pascal shared several highlights from the recent IGeLU conference:
    - ExLibris' interest in more sophisticated relevancy in Primo (Charles will send the link to a talk by Tamar Sadeh)
    - content coverage of Primo Central: 150,000 journals in Primo Central which include a high percentage of top-rated journals; 480 million articles - expected to reach a billion
    - upcoming Primo 4 release in 1st quarter 2012

Pascal noted that two 1-year contract Systems positions will be posted on Friday. They will assist in catching up on legacy software and assisting Chris with various projects.

Chris noted that LibX is on the next agenda for the Adhoc Discovery & Access Committee.

Chris has done some research on Website Governance and will provide links to relevant articles via Sharepoint. ACTION: Chris.

Business Arising 2.2.2 "Where Is It" floorplans and room bookings for Musagetes: In addition to the study room at Musagetes, the Map Library would like to add their two GIS workstations as well. Chris noted that it is easy to set up new locations and rooms (or workstations) in the booking system. A few details still need to be clarified. They both want to make additions to the rules in the FAQ. Sara will supply Chris with a floor plan for Musagetes.
ACTION: Chris will contact them to ensure the project stays on track.

  7. Web Authoring Tools
Since the Library will not be moving to Drupal until January 2013 (at the earliest), the question was raised whether our current web editing tools are still meeting WebOps and web maintainers needs. It was noted that the adoption of LibGuides has reduced Contribute use. We decided no changes are necessary at this time.

  8. UW Web-Advisory Group Update
Chris shared news that uWaterloo's homepage will go live with a new design next month. This was done as part of the mid-cycle review of the 6th Decade Plan. A document developed on web content strategy for the university was used to wireframe the new homepage. The page moves away from a heavy marketing approach to one based on users needs and sharing more information. It was well received by the Group.
ACTION: Chris will post links to updates
