Annie noted that this document will develop slowly but asked the group to review it by the next meeting to consider what components of it can be started now.

- Redesign Charter Update
The group discussed several aspects of the charter found at:

The staffing component is still being worked on. Pascal and Annie continue work on job descriptions. The group discussed the merits of combining the redesign with the CMS project.
Annie, Pascal, Chris, Steve, Graham: meet to resolve what exactly should be migrated, by who, and when.
- Working group Mandates -- User Stories
The grouped continued to discuss Working Group User Stories as outlined at:

The mandates were written and reviewed by the Library Executive group. They will be forwarded on to Library Managers on January 17. It was noted that the working groups for user stories and profiles will consist mainly, but exclusively of front-facing staff. The group noted possible exception cases for Pharmacy and Optometry.
- Working Group User Profiles

- Working Group -- Services

- Working Group -- ERM Migration
This project involves the migration of residual ERM functionality away from the current Cold Fusion version.
The proposal is yet to be documented. The previous ERM group chaired by Chris will be reconstituted once Graham returns.
- Web Advisory Update (deferred from the previous meeting)
Chris reported on major events of the last meeting:
- There are a lot of AOD accessibility gaps in the various campus projects. A report has been created that Chris will forward to the group. Focus puts an onus on content creators who have a role and duty to live up to the standards involved. Several SEW courses should help people learn the basics. The deadline for AOD deployment is January, 2014.
- A Student communication project has been struck, focusing on:
- the mobile web
- a student portal
- open data initiatives
- Environmental Studies are engaging in digital-signage issues.
- a Digital Initiatives group is focussing on the issues surrounding emergency communications
- WCMS:
- coop students have been hired to help with the site.
- the Events pages now includes iCalc components so users can update their mail calendars.
- a new version of WCMS will permit new content types, new templates and provide an alert function.
- a new U15 site profiles the top 15 institutions in Canada. IST has volunteered to manage it.
- Procedure for handling website comments
Nancy noted that some of the recent problems reported via the website "Comments" form have proven difficult to interpret and subsequently reassign to the appropriate staff member for followup.
After discussion the group agreed that Chris, Charles and Doug would try to step in where needed to help with a triage process that ensures the problem report is directed to the appropriate staff and ownership of the event is determined. Nevertheless Nancy would take the lead in interpreting new items.
