Minutes of the Meeting - January 30, 2013

  1. Approval of Minutes of January 16

    • Approved with no corrections
  2. Business arising from Minutes of January 16

    • Geospatial Centre
      • Chris has tripled the Geospatial Centre's space on the Library's server (now 30GB) to accommodate files for the Geospatial Centre's Air Photo and Historical Maps projects
      • Charles created a new email alias LibGeo to replace LibUMD and LibUMDRef
      • Charles has identified all pages referring to old aliases and has sent a list of these pages to Eva for updating
  3. Housekeeping

    • Minutes
      • WebOps' minutes page on the Library's website needs to be updated
      • The group agreed that minutes will be drafted in html format from now on
      • Action: New members will be given editing privileges for the WebOps directory
      • Action: Steve will upload an accessible template (created with appropriate heading fields, etc.)
  4. Primo / Primo Central

    • ExLibris has launched a self-registration service which allows libraries to easily add contents of their institutional repository (IR) to Primo Central. Picking up on an earlier email discussion on this topic, the group discussed how the Library might use this service
    • The group agreed that decisions relating to collections discovery extend beyond WebOps' scope and that IRMC should also be consulted.
    • Action: Charles and Alison will visit IRMC to present about Primo and the Library's options for collections discovery
  5. User Profiles and Personas Working Group

    • Annie reported that there was a diverse response to her call for volunteers to participate in the User Profiles and Personas working group
    • Volunteers included library staff members from ISR, Circulation, the Geospatial Centre, Musagetes, the Adaptive Technology Centre, and Cataloguing. Sarah Forgrave, the web and e-communications officer in the Faculty of Science has also expressed interest in joining this working group. Sarah led the previous campus web redesign and has experience with IA and usability. Steve will advise on analytics. Nancy will advise on communications.
    • Action: The group agreed to move forward with this membership. Annie will approach Sarah Forgrave to lead the group
  6. User Stories Working Group

    • There was a lukewarm response to the call for volunteers for this working group
    • We will postpone starting this group until the user profiles / personas have been established. This will enable us to create user stories that build on these profiles / personas
    • Action: In February or March, WebOps will provide an overview of the three working groups for library staff and will encourage individuals to join this user stories group
  7. "Services for..." Working Group

    • Steve has been working on the Library's base profile
    • Action: Steve will provide an update at the next WebOps meeting and will schedule meetings to start by the end of February
  8. Online Access to Research Resources Working Group (OARR)

    • This group has undergone many name changes, but will be starting actual work shortly
    • Mandate has gone to IRMC for review
  9. Doing an analytics study

    • The group discussed the fact that we generate a lot of data, but don't use any of it
    • Charles suggested that he is happy to generate data upon request, but would also like to train others on how to generate data themselves using Google Analytics and other tools
    • Someone suggested Jonathan Woodcock (from CPA) as a guest speaker to share his experience of how analytics are used to inform the university's homepage
    • Action: Charles will refresh his knowledge of analytics tools in anticipation of supporting the working groups
    • Action: Charles will train Steve and Graham on how to use various analytics tools
    • Action: The group will revisit this topic at the next WebOps meeting
  10. Around the Table

    • Steve
      • Has been testing the Library's Drupal instance. He reported that we will not be using the campus' instance, but will definitely require our own instance. The look & feel will be the same, but we will have more flexibility with respect to content
      • Action: Steve will give a demo at the next WebOps meeting
    • Graham
      • Has set up a new journal, Canadian Food Studies
      • Ellen Desjardins is the Editor. She is from Laurier, but also teaches at Waterloo
      • Graham will be working on creating a test instance for people to try out before requesting their own journal instances
      • Graham will send out the hosting agreement that he and Pascal created for the Journal of Disability Studies
      • The group felt that Graham's OJS work would be of interest to ISR
      • Action: Annie will ask Pascal to come to a joint ISR meeting
    • Chris
      • There are ongoing problems with the Library's EZproxy and Connect-from-Home service
      • Access problems are not always a proxy issue. Chris mentioned that some users think they can log into VPN to be considered on-campus and not have to use Connect-from-Home.
      • There are two ways to successfully access a resource from off-campus:
        • Use the Connect-from-home service
        • Use VPN and remote desktop to a campus workstation
      • Action: Chris will review the option of adding a prompt to Primo and TRELLIS recommending to off-campus users that they authenticate at that point. He will also ask Pascal to see if IST is able to re-configure VPN so that the extra step of authenticating to access our remote resources isn’t necessary
    • Kathy
      • Is interested in learning more about Google Analytics
    • Annie
      • Is now participating on WCMS’ “Contents Sharing” group
